ISC Officers’ Meeting
4/6/2005 in Room 341 IMU
Meeting called to order by Commodore Schneider at 6:30. 7 officers attending (Springsteen, Burzynski, Clark, Darling, Adkins, Schneider, and Huntley) and 6 members.
Minutes from the Officers’ Meeting of 3/2/2005 read and adopted.
Lindsey proposed convening those present ass a Committee of the Whole to discuss 7 items on an agenda (circulated earlier by e-mail) with approximately 8 minutes allotted to each.
#1 Fortieth Reunion, Jenny opening the discussion. The celebration will be held at the Steve Branin and Jayne McQuillen’s farm to coincide with the Club’s Bastille Day events on Saturday 7/16 and Sunday 7/17.
Committees are being formed and volunteers organized for these activities: Invitations, Prizes-Honors-Recognition, Regatta Operations, Food and Beverage, Entertainment.
Jenny agreed that given the burden of organizing the Reunion, other members might be found to take over the on-going jobs of Publicity and Social Events for the Club. Todd volunteered to make a list of jobs for which volunteers should be sought. Heather and Lindsey agreed to call up volunteers.
#2 Scuttlebutt. Jenny will be getting the next issue out soon. It will include news and announcements about the 40th Reunion. Stories will also emphasize Club growth and activity so that copies can be mailed to former members as part of the invitation and publicity operation.
#3 Recruitment. Should we bring a boat to campus for River Fest? Jenny agreed to check out the RiverFest options.
Should we use the once a year shot at issuing an e-mail to all students? Erin (reporting by letter read by Huntley) asks that new members be invited to the Information Meeting and Ground School (scheduled for 4/14 in the Kirkwood Room, IMU, 7 to 9pm) to avoid chaos out at the boathouse on Open House Days. Most seemed to agree to wait for Erin’s return from Texas to work out the text and strategy for e-mail messages and recruitment activities.
Austin Bunn presumably will organize the InfoMtg/Ground School; Erin has a PowerPoint show; Huntley will help with some of the teaching.
#4 Open House & Intro to Sailing at the boathouse, Sat., 4/23 and Sunday 4/24., 11 to 3:00 pm both days. Heather will organize these events:
So far, rides will leave IMU 15 10:30 and 12:30 both days.
Volunteers are needed for giving these rides, for supervising the boathouse, organizing refreshments, and giving free sailing rides..
#5 Boat check-out/check-in procedures. Huntley proposes reorganizing the corner where members will check out boats, rebuilding the desk, building a board that displays each boat in the fleet and provides space for the skipper to clip his or her Log Book. Stuff more appropriate to Exec Officers business should be moved over to the vicinity of the Exec Cabinet. Huntley will draw up plans, check them out with Richard and Dave before starting any
construction.
The check-out process that seems to be taking shape entails these steps:
1) Helmsman signs out a boat in the SignpOut Book, noting crew’s names, time out, time back in.
2) Helmsman also clips his or her Log Book to the Boat Display Board.
3) Helmsman should be ready to sign off in his or her crew’s Log Book any steps taken toward a next rating.
4) At the end of the sail, Helmsman records return time in the Sign-Out Book; also notes in the Damage/Repair Book anything that needs attention. Thereafter, the Fleet Captains and their work groups should check this book, make the repairs, and get all boats back into service in good order.
5) And finally the Helmsman retrieves his or her Log Book from the Boat Board.
Erin has also suggested adding (in the teaching curriculum) two more steps: cleaning out each boat before sailing it, and cleaning it out again when putting it back.
#6 Summer Plans.
Lindsey will be gone; Lauren (if she’s here) has expressed willingness to be summer Commodore.
Eric will also be gone; Todd volunteers to take over the duties of treasurer during the summer.
#7 Other concerns, announcements, etc.:
A. Richard—boat registration forms must be checked against each boat and returned to the County Recorder.
B. Todd reports that the electric lock system is up and working.
C. Huntley reminds the Officers that our Calender schedules Workshops during the summer—check dates and be ready to hold these sessions.
D. Thursday morning, the Pontoon Boat is launched with its new 9.9 hp, 4 cycle, elecrtric start outboard. Tom Hart and Huntley went through the operating procedure with Steve from the Marina; they should probably instruct anybody who’s planning to run the pontoon boat on how to work the new motor. And thereafter, such certification should be checked off in the Log Book.
E. Soon the overhanging tree limbs should be cut back.
F. This weekend (4/9) the new sail rack will be ready; the sails that were sent to Yacht Sailmaker for repair havecome back and are at the boathouse (
G. Huntley proposes that the next Officers’Meeting should address questions about the fleet—it’s size (do we have more boats than we need or regularly use), maintenance and rotation policy, sale of unneeded boats.
